Field service management software for a small crew

Half of this market is not built for you. Three of the six vendors here sell to multi-truck operations through a sales process, and a two-van firm entering that funnel will spend a fortnight learning it was never the customer. Here is the half that is.

Who you can actually start with today

ServiceM8 has a permanently free plan for 30 jobs a month and one user, plus a 14 day trial of the paid tiers, and it charges for jobs rather than people. Housecall Pro offers a 14 day trial with no credit card and publishes $59, $149 and $299 a month billed annually. Kickserv offers the longest trial here at 30 days and sells users in bundles of 5, 10 and 20.

Those three you can evaluate on your own time. FieldEdge, ServiceTitan and FieldPulse all require a conversation before you see a number, and FieldEdge states plainly that it offers no trial at all.

The trap in each of the three

ServiceM8's cap is jobs, so a small crew running many short jobs climbs its ladder faster than a larger crew running few long ones. Read your own job count before your headcount.

Kickserv's Start plan buys five users whether you need them or not, so a sole trader pays $60 for $12 of use. It is the most expensive option here for one person.

Housecall Pro publishes no user count on any tier, which is fine until you add a fourth person and discover what the flat plan actually covers.

What you give up by staying small

Mostly the configured stuff: multi-location management, open APIs, dedicated onboarding and the deeper inventory and payroll integrations the enterprise tier vendors build their pitch on. For a crew under about ten, almost none of it changes a working day.

What you do not give up is compliance capability, and that is worth checking rather than assuming, because none of the six publishes refrigerant record handling at any price point.

When it is time to move

Two signals. When the office headcount starts to rival the van headcount, a per-seat model that prices admins differently, as FieldPulse's does, stops being a nuisance and becomes cheaper. And when a dispatcher spends more than an hour a day re-planning, route optimization is worth a tier.

Neither signal is about revenue, which is the metric vendors will ask about. Both are about the shape of your team.
